Your delivery window

Our service promise

Checklist passed, or we fix it or refund it.

A failed checklist gets one correction window of five business days at no extra charge. If it still fails, you can cancel for a full pilot-fee refund; the remaining balance is cancelled.

We confirm the scoped sample, delivery owner, reviewer and kickoff date before accepting the engagement or any payment.

The scope, acceptance and fee terms +

Included scope

Five renewal files, one carrier workflow and agreed template set, up to 50 mapped fields and 20 source pages per file; no new carrier integration or open-ended customer chasing.

Payment

50% at accepted intake, 50% after your written acceptance. No subscription or automatic rollout; third-party charges require separate written approval.

Acceptance standard

Required fields match approved sources, sources and versions are linked, the agreed format is used and no critical transcription errors remain. Open critical facts are resolved, substituted or removed from the paid scope by agreement. The agreed job brief, source map and included handover assets are delivered with the accepted batch.

Outside this offer

Coverage advice, risk decisions, carrier acceptance, new carrier integrations, binding and premium or revenue outcomes are outside this pilot.

How the promise works

  • Within two business days of receiving the proposed intake, we confirm acceptance or list missing inputs. The delivery clock starts on the agreed kickoff date after scope, records, templates, delivery capacity and reviewer are confirmed.
  • You have five business days to review each delivery against the written checklist; silence does not count as acceptance.
  • Only documented waits for your missing inputs, approvals or an agreed scope change pause the affected deadline; we confirm the revised date in writing.
  • If our work fails the agreed checklist, we correct it at no extra charge within five business days of your notice. If it still fails, you may cancel for a full refund of pilot fees paid; the unpaid balance is cancelled.
  • If we miss a delivery deadline for reasons within our control, you may cancel the unfinished pilot for a full refund instead of waiting.
  • Refunds are returned within ten business days of cancellation. These remedies cover the pilot fee, not lost revenue or third-party decisions.
  • A critical missing fact does not count as a completed file or request: we agree a substitute item, a documented schedule change or a proportionate fee reduction before proceeding.
  • The engagement uses agreed exports, existing authorized access and editable output formats. New production integrations, unlimited correspondence and ongoing service require a separate written scope; there is no automatic renewal.
  • Day 5 and the batch deadline refer to delivery for review. We prepare the remaining items in parallel; your normal five-business-day review window is already allowed for and does not itself pause draft delivery. Acceptance and any correction window follow delivery.

Fixed fees are in USD; applicable taxes, if any, are additional. The written scope confirms these terms before kickoff.

01

Check fit · before a deposit

We review up to three representative records, confirm that your current tools leave work to do, and agree the five-file checklist.

02

Review the sample · day 5

We deliver the first worked package for your account manager. Coverage, risk statements and all final insurance decisions stay with your team.

03

Receive the batch · day 10

We deliver the five agreed drafts, source references, exception list and a record of preparation and review time.

Why act on this backlog now

Use your next renewal dates to choose the batch: preparation work needs to finish before the account manager can complete carrier review. The kickoff is scheduled against your real dates after capacity is confirmed.

The test for continuing

Continue as a managed digital employee only if the accepted batch reduces total preparation and review work.

The reason to add a service

Your software stays.
The unfinished work gets an owner.

The target is re-entry and file preparation that remains across the selected carrier forms after supported AMS integrations are checked.

Check the first application against its source records and your written acceptance checklist. We establish the value on your records before proposing ongoing operation.

The work that keeps coming back

Sound familiar?

The starting point is a real recurring backlog, not a new tool looking for a problem.

01

The next renewal batch is approaching while applications still need the same facts entered again.

02

Client information is available, but carrier-specific forms and missing attachments keep files open.

03

Experienced account managers spend their time preparing files instead of resolving client questions.

The complete role, from setup to handoff

Your digital employee.
The work around the work, handled.

Job setup, source mapping, the agreed batch, review corrections and the included handover assets are part of the stated engagement.

01

Renewal Job Setup

The same client facts need to be entered differently for each carrier.

We map one carrier workflow, agreed templates and up to 50 fields per file, using the records you approve.

A defined digital-employee role and reusable field map.
02

Source-Linked Applications

A quick draft is still work if every answer needs checking from scratch.

We prepare five renewal-file drafts, each linked to the approved source and version.

Applications ready for your account manager’s completeness review.
03

Missing-Information Queue

Open questions hide in email threads and attachments.

We separate missing facts, inconsistent records and required attachments, with the responsible reviewer named.

One focused exception list for your team to resolve.
04

Review & Correction Handoff

A draft does not finish the job if review creates more rework.

We correct preparation errors against the agreed checklist and record the remaining review effort.

The accepted five-file batch and a clear continue-or-stop decision.

Start with the right fit

A good fit when
the backlog is real.

A good pilot needs a clear owner, usable records and enough recurring work to justify the effort.

  • Your next renewal batch contains repeat administrative work across the same carrier workflow.
  • A native integration check confirms that the selected work is still manual or incomplete.
  • An authorized account manager can review risk statements and approve the final submission.
  • A recurring workload and a named budget owner justify testing a managed digital employee, beyond a one-off cleanup.
Where the scope stops +

Coverage advice, underwriting and risk representations remain with qualified professionals.

Carrier acceptance, placement and commission growth are not promised outcomes.

Before we start

Questions about
this workflow.

What exactly is a digital employee?+

A managed AI system for one defined role. AI Acquisition configures and operates it; your named reviewer approves the decisions that need professional judgment. For this role, its job is to prepare renewal applications and supporting records for your account manager.

What if our agency system already has this feature?+

We check that first. If a supported integration solves the problem more economically, that is the appropriate route; a separate service needs a demonstrable remaining workload.

What does the pilot price include?+

Five renewal files, one carrier workflow and agreed template set, up to 50 mapped fields and 20 source pages per file; no new carrier integration or open-ended customer chasing. 50% at accepted intake, 50% after your written acceptance. No subscription or automatic rollout; third-party charges require separate written approval.

When does the delivery clock start?+

Within two business days of receiving the proposed intake, we confirm acceptance or list missing inputs. The delivery clock starts on the agreed kickoff date after scope, records, templates, delivery capacity and reviewer are confirmed. Only documented waits for your missing inputs, approvals or an agreed scope change pause the affected deadline; we confirm the revised date in writing.

What happens if the work misses the agreed standard?+

A failed checklist gets one correction window of five business days at no extra charge. If it still fails, you can cancel for a full pilot-fee refund; the remaining balance is cancelled. If we miss a delivery deadline for reasons within our control, you may cancel the unfinished pilot for a full refund instead of waiting. Refunds are returned within ten business days of cancellation. These remedies cover the pilot fee, not lost revenue or third-party decisions.

Can you promise savings or a paid outcome?+

We promise the defined preparation work and the stated fee remedy. Net staff time saved is measured; carrier acceptance, placement and commission revenue depend on decisions outside this pilot.

What happens after the pilot?+

Continue as a managed digital employee only if the accepted batch reduces total preparation and review work. You keep the delivered records and handover assets; ongoing operation is optional and separately scoped.
