07 / SUPPLIER PRICE EXCEPTION PREPARATION
Digital Purchasing Assistant

A managed AI system for one defined role. AI Acquisition configures and operates it; your named reviewer approves the decisions that need professional judgment.

The outcome

Purchasing can decide price exceptions without repeatedly rebuilding the order history.

How you judge it

Compare the first brief with the original order and price agreement before expanding the batch.

Your first result

First brief by business day 5; ten cases by day 10 after accepted intake.

Your part

Provide the exception export, approved terms and one purchasing reviewer. We assemble the evidence and prepare the response for approval.

Your delivery window

First worked record by day 5; the 10-item batch by day 10 after accepted intake.

Our service promise

Checklist passed, or we fix it or refund it.

A failed checklist gets one correction window of five business days at no extra charge. If it still fails, you can cancel for a full pilot-fee refund; the remaining balance is cancelled.

We confirm the scoped sample, delivery owner, reviewer and kickoff date before accepting the engagement or any payment.

The scope, acceptance and fee terms +

Included scope

Ten supplier-price cases for one vendor, one agreement and one purchasing workflow, up to 20 line items and 20 source pages per case, with one response draft per case.

Payment

50% at accepted intake, 50% after your written acceptance. No subscription or automatic rollout; third-party charges require separate written approval.

Acceptance standard

Each brief links the matching order, acknowledgement and approved terms, checks the stated variance and identifies the owner and next action. Corrections count as realized only when verified in the source record. The agreed job brief, source map and included handover assets are delivered with the accepted batch.

Outside this offer

Discretionary negotiation, legal interpretation, supplier commitments, stock availability, new ERP integrations and guaranteed credits or savings are outside this pilot.

How the promise works

  • Within two business days of receiving the proposed intake, we confirm acceptance or list missing inputs. The delivery clock starts on the agreed kickoff date after scope, records, templates, delivery capacity and reviewer are confirmed.
  • You have five business days to review each delivery against the written checklist; silence does not count as acceptance.
  • Only documented waits for your missing inputs, approvals or an agreed scope change pause the affected deadline; we confirm the revised date in writing.
  • If our work fails the agreed checklist, we correct it at no extra charge within five business days of your notice. If it still fails, you may cancel for a full refund of pilot fees paid; the unpaid balance is cancelled.
  • If we miss a delivery deadline for reasons within our control, you may cancel the unfinished pilot for a full refund instead of waiting.
  • Refunds are returned within ten business days of cancellation. These remedies cover the pilot fee, not lost revenue or third-party decisions.
  • A critical missing fact does not count as a completed file or request: we agree a substitute item, a documented schedule change or a proportionate fee reduction before proceeding.
  • The engagement uses agreed exports, existing authorized access and editable output formats. New production integrations, unlimited correspondence and ongoing service require a separate written scope; there is no automatic renewal.
  • Day 5 and the batch deadline refer to delivery for review. We prepare the remaining items in parallel; your normal five-business-day review window is already allowed for and does not itself pause draft delivery. Acceptance and any correction window follow delivery.
  • Your team sends the prepared supplier responses. We record one status update per case from replies or verified corrections you supply before the batch deadline; ongoing supplier chasing is separately scoped.

Fixed fees are in USD; applicable taxes, if any, are additional. The written scope confirms these terms before kickoff.

Free fit check first: a source-assembly or follow-through gap must remain after the current ERP workflow is reviewed. We agree the job, source records, capacity and acceptance checklist.

We deliver the agreed 10 supplier-price cases, included handover assets and a preparation/review record for the next decision.

Why act on this backlog now

Work from the next purchasing or reconciliation deadline: a flagged discrepancy still needs a supported decision before it can be closed. The kickoff is scheduled against your real dates after capacity is confirmed.

The test for continuing

Expand only when the repeated cases save net purchasing time or produce attributable financial value worth more than the service.

The reason to add a service

Your software stays.
The unfinished work gets an owner.

The target is evidence assembly and follow-through after a discrepancy is flagged, where the current automation stops short of a usable decision package.

Compare the first brief with the original order and price agreement before expanding the batch. We establish the value on your records before proposing ongoing operation.

The work that keeps coming back

Sound familiar?

The starting point is a real recurring backlog, not a new tool looking for a problem.

01

A supplier-price discrepancy has been flagged, but the evidence needed to resolve it is still scattered.

02

Purchasing keeps reconstructing the same order history before it can approve a response.

03

The exception queue grows because identifying a mismatch does not assign or complete the next action.

The complete role, from setup to handoff

Your digital employee.
The work around the work, handled.

Job setup, source mapping, the agreed batch, review corrections and the included handover assets are part of the stated engagement.

01

Exception Job Setup

Detecting a mismatch does not complete the commercial work.

We select one vendor and recurring exception type that remains unfinished after the ERP check.

A defined case queue and acceptance checklist.
02

Price Evidence Pack

The order, acknowledgement and price agreement are in different places.

We match the records and approved terms for ten accepted cases.

A source-backed comparison for each discrepancy.
03

Purchasing Decision Brief

The buyer has to reconstruct the difference before deciding what to do.

We show the variance, evidence, unresolved question and a proposed response draft.

A focused brief for the authorized purchasing owner.
04

Decision & Correction Register

A proposed correction may never appear in the transaction.

We log approvals, actual responses and verified corrections supplied during the pilot.

A register separating open disputes, agreed corrections and realized results.

Included with the engagement

Keep the work useful
after the first batch.

These handover assets are included in the stated scope and fee.

Exception Rulebook

Keep the agreed matching rules, evidence checklist and escalation owner for this exception type.

Finance Handoff

Receive the case references and correction status for reconciliation; unverified savings remain separate.

Start with a free fit check.

Free fit check on up to three sample records first: a source-assembly or follow-through gap must remain after the current ERP workflow is reviewed. The fixed fee includes setup and a worked batch. Ongoing service is quoted only after measured volume, review effort and delivery cost are known.

The metric to establishNet handling time per vendor-price discrepancy

An approval and follow-through log showing unresolved, corrected and closed cases

Final scope, permissions, review requirements and acceptance criteria are agreed before delivery.

Start with the right fit

A good fit when
the backlog is real.

A good pilot needs a clear owner, usable records and enough recurring work to justify the effort.

  • You have repeated vendor-price discrepancies remaining after routine ERP or order automation checks.
  • Order records and agreed terms are accessible, and the issue is evidence preparation rather than supply scarcity.
  • A purchasing owner can decide commercial exceptions and authorize follow-through.
  • The planned batch has enough lead time for the stated delivery and review windows, and a buyer-approved value estimate justifies the fee.
  • A recurring workload and a named budget owner justify testing a managed digital employee, beyond a one-off cleanup.
Where the scope stops +

Negotiated concessions and discretionary commercial decisions stay with your team.

Coordination cannot remove genuine stock shortages or force a supplier to respond.

Before we start

Questions about
this workflow.

What exactly is a digital employee?+

A managed AI system for one defined role. AI Acquisition configures and operates it; your named reviewer approves the decisions that need professional judgment. For this role, its job is to build source-backed supplier-price cases and track authorized decisions.

Is this another order-entry tool?+

The proposed scope begins with exceptions that remain after routine processing. Existing order-entry and ERP capabilities are checked before any additional workflow is recommended.

Can it change prices or delivery commitments?+

Only steps explicitly authorized in the agreed process would be executed. Commercial decisions outside those rules require your team's approval.

What result should we measure?+

Net handling time, time to resolution and documented costs avoided. Inventory, retention and revenue changes need separate evidence before being attributed to the service.

What does the launch price include?+

Ten supplier-price cases for one vendor, one agreement and one purchasing workflow, up to 20 line items and 20 source pages per case, with one response draft per case. Job setup, source mapping, the agreed batch, review corrections and the included handover assets are part of the stated engagement. 50% at accepted intake, 50% after your written acceptance. No subscription or automatic rollout; third-party charges require separate written approval.

When does the delivery clock start?+

Within two business days of receiving the proposed intake, we confirm acceptance or list missing inputs. The delivery clock starts on the agreed kickoff date after scope, records, templates, delivery capacity and reviewer are confirmed. Only documented waits for your missing inputs, approvals or an agreed scope change pause the affected deadline; we confirm the revised date in writing.

What if the work misses the agreed standard?+

A failed checklist gets one correction window of five business days at no extra charge. If it still fails, you can cancel for a full pilot-fee refund; the remaining balance is cancelled. If we miss a delivery deadline for reasons within our control, you may cancel the unfinished pilot for a full refund instead of waiting. Refunds are returned within ten business days of cancellation. These remedies cover the pilot fee, not lost revenue or third-party decisions.

What happens after the pilot?+

Expand only when the repeated cases save net purchasing time or produce attributable financial value worth more than the service. You keep the delivered records and handover assets; ongoing operation is optional and separately scoped.
