Your delivery window

Review in 5 business days

First supported package within 10 business days of accepted recovery intake; the complete accepted batch within 20 business days when all agreed evidence is available.

Our service promise

No verified recovery. No service fee.

We bill only against the accepted claim register when incremental cash or an applied credit is verified. We exclude existing approved credits and work already assigned to another recovery provider.

We confirm the scoped sample, delivery owner, reviewer and kickoff date before accepting the engagement or any payment.

The scope, acceptance and fee terms +

Included scope

Review: ten deduction lines, one supplier account. Recovery: up to 25 accepted claims in agreed categories, with two follow-ups and one available escalation per claim during the initial 90-day period.

Payment

Fees are reconciled monthly against verified recoveries. A later reversal reduces the next invoice or is refunded if the engagement has ended.

Acceptance standard

A reviewed eligibility map is the first deliverable. Recovery packages need source-backed amounts, the appropriate format, a deadline check and your finance approval. The agreed job brief, source map and included handover assets are delivered with the accepted batch.

Outside this offer

No promised recovery amount or distributor payment date; valid charges, unsupported claims, legal disputes and expired rights are excluded.

How the promise works

  • The delivery clock starts on the agreed kickoff date after the sample scope, accessible records, approved templates and named reviewer are confirmed.
  • Within two business days of receiving the proposed intake, we confirm acceptance or list the missing inputs; each claim’s actual deadline is checked before it enters the agreed schedule.
  • The free review uses the records already available; third-party backup requests have their own response times. Recovery deadlines are checked before a claim is accepted.
  • You authorize external submissions and any required portal access; nothing is represented as approved merely because a package was prepared.
  • Initial follow-through lasts up to 90 calendar days. Unresolved cases are handed over; continuation and any fee period for already-submitted claims are agreed in writing before work begins.
  • No recovery fees are charged on pre-existing approvals, duplicate recovery, denied claims or valid deductions. Any later reversal is credited or refunded within ten business days of reconciliation.
  • The engagement uses agreed exports, existing authorized access and editable output formats. New production integrations, unlimited correspondence and ongoing service require a separate written scope; there is no automatic renewal.

Fixed fees are in USD; applicable taxes, if any, are additional. The written scope confirms these terms before kickoff.

The first thing you receive

01

Free review · by day 5

We review the ten agreed lines and return the eligibility map. No paid recovery engagement starts until you approve the scope.

02

First case · by day 10

For accepted recovery work, we prepare the first supported claim package within ten business days of receiving its complete evidence; your finance lead approves it.

03

Follow through · up to 90 days

We track the accepted batch, prepare authorized follow-ups and reconcile outcomes, then hand over any unresolved cases. UNFI controls decisions and credit timing.

Why act on this backlog now

If open claims are approaching their actual dispute deadlines, another unreconciled month leaves less time to obtain backup and act. The kickoff is scheduled against your real dates after capacity is confirmed.

The test for continuing

After the review, authorize only the claims whose evidence and economics justify the work.

The reason to add a service

Your software stays.
The unfinished work gets an owner.

The target is unfinished backup collection and follow-through across UNFI email and portal workflows—not claims your existing recovery service already handles.

Inspect the eligibility map and a source-backed claim before authorizing submissions. We establish the value on your records before proposing ongoing operation.

The work that keeps coming back

Sound familiar?

The starting point is a real recurring backlog, not a new tool looking for a problem.

01

Open deductions reach another reconciliation with no clear decision to dispute or close.

02

Missing backup sits outside the dispute portal, leaving finance to reconstruct each case.

03

The balance on the ledger does not tell you which amounts are actually recoverable.

The complete role, from setup to handoff

Your digital employee.
The work around the work, handled.

Job setup, source mapping, the agreed batch, review corrections and the included handover assets are part of the stated engagement.

01

Eligibility Map

A large deduction balance does not tell you which claims are worth pursuing.

We review ten lines, separate evidence-backed candidates from valid charges and check the actual claim deadlines.

A prioritized starting register with the evidence needed for each decision.
02

Claim Builder

Remittances, agreements and delivery records are scattered.

We assemble source-backed packages for up to 25 accepted claims in the agreed recovery scope.

A claim package your finance lead can inspect and authorize.
03

Approval & Follow-Up Queue

A submitted claim can disappear into another inbox.

We prepare two follow-ups and one available escalation per claim during the agreed 90-day period, subject to authorization.

A named next action and visible status for every accepted claim.
04

Verified Recovery Ledger

Claim value and money received are easily confused.

We reconcile actual cash or applied credits to the starting register and account for later reversals.

An attributable recovery record that determines the 25% service fee.

Included with the engagement

Keep the work useful
after the first batch.

These handover assets are included in the stated scope and fee.

Start with the right fit

A good fit when
the backlog is real.

A good pilot needs a clear owner, usable records and enough recurring work to justify the effort.

  • A material UNFI Naturals backlog with documented, potentially disputable items
  • Accessible remittances, relevant agreements and delivery records; claims not already recovered or approved
  • A finance reviewer who can approve claims and confirm credits or cash against the baseline
  • A recurring workload and a named budget owner justify testing a managed digital employee, beyond a one-off cleanup.
Where the scope stops +

Valid allowances, expired claims and unsupported entitlement are outside the recovery scope.

Recovery decisions and payment timing remain with the distributor; outcomes cannot be guaranteed.

Before we start

Questions about
this workflow.

What exactly is a digital employee?+

A managed AI system for one defined role. AI Acquisition configures and operates it; your named reviewer approves the decisions that need professional judgment. For this role, its job is to find supported deductions, prepare claims and keep the recovery register current.

Why is the initial review free?+

It establishes whether the available evidence justifies recovery work before you make a commitment. The review covers ten agreed lines; it does not promise that any deduction can be recovered.

What exactly counts as recovery?+

Incremental cash received or a credit applied to your account, linked to the agreed claim register and confirmed by finance. Identified amounts, submissions, existing approvals and another provider’s work are excluded; reversals reduce our fee.

Can you guarantee recovery within a month?+

No. We commit to our review and preparation dates once the agreed inputs are available. UNFI and other parties control their decisions, response times and payment posting.

What happens after the first batch?+

We review actual effort, evidence quality and recovery economics before agreeing another batch. The same 25% fee can apply to an accepted scope; no retainer or automatic renewal is introduced.

What happens after the pilot?+

After the review, authorize only the claims whose evidence and economics justify the work. You keep the delivered records and handover assets; ongoing operation is optional and separately scoped.
